Director of Operations

Transition Salt Spring is a small but dynamic and impactful non-profit organization committed to activating local climate action through education, advocacy, demonstration projects and community engagement. 

We are seeking a highly motivated and experienced Director of Operations to oversee and deliver the day-to-day administrative, information and operational functions of our organization. The Director of Operations will play a key role in ensuring the efficient and effective management of our resources, programs, and personnel to support the achievement of our mission, in collaboration with the Executive Director and using a distributed leadership model called Sociocracy. This role combines hands-on delivery of administrative and information management services, along with oversight and management of several organizational systems. 

Position Type: Part-time employment for 25 hours/week at $31/hour. Possibility for the position to grow in scope over time, with a pay raise after two years. This position can work from home part-time but also must be able to work in our space on Salt Spring Island each week and be available to spread these hours over 4 – 5 days/week. Key Responsibilities:

  1. Operational Leadership:
    • Develop and implement operational strategies to support the organization’s mission and goals.
    • Oversee the day-to-day operations of the organization, including finance, human resources, facilities, and IT.
    • Ensure compliance with all relevant laws, regulations, and organizational policies.
    • Develop and implement onboarding and training programs for staff and volunteers, focusing on relevant systems, platforms, software, tools and procedures.
    • Ensure continuous skills development for all team members.
  1. Financial Management:
    • Manage the organization’s operational budget and day to day financial processes in collaboration with the Bookkeeper and Executive Director.
    • Oversee financial reporting and analysis to support decision-making and planning.
    • Oversee the financial policies and procedures to ensure accountability and effective financial management.
  1. Human Resources:
    • Manage human resources, including recruitment, onboarding, performance management, and professional development in collaboration with the Executive Director.
    • Foster a positive and inclusive organizational culture that values diversity, collaboration and promotes employee engagement and retention.
  1. Program Management and Support:
    • Work closely with program staff to ensure the successful implementation of our programs and services.
    • Monitor program performance and impact, and make recommendations for improvement as needed.
    • Offer management, administrative and programmatic support to ensure the success of ongoing programs.
    • Support the development of new programs and initiatives to advance the organization’s mission.
  1.  Information Management:
    • Oversee and deliver all aspects of data/information management and technical systems to ensure seamless operations and effective troubleshooting of online and other systems. 
    • Lead on the oversight, maintenance, and usage of the database system (a CRM called Keela) to support automations, marketing, and fundraising.
    • Lead on Google Workspace platform and data management and provide support/training for all users.
    • Support the ongoing development of the TSS website including content updating and backend organization on a WordPress platform. 
    • Implement systems and processes to streamline operations and improve efficiency.
    • Maintain accurate and up-to-date organizational records and documentation.
  1. Administration Support:
  • Manage insurance, office facilities, library, supplies, and other administrative systems.
  • Enhance systems over time to improve operational efficiency, including the use of AI tools.
  • Manage and maintain the office/meeting space. 
  • Provide tech and administration support for all staff, events, programs and projects, in collaboration with the Administration Lead. 
  • Provide comprehensive assistance to the Executive Director as needed.

Required Qualifications

  • Relevant training and/or education in a relevant field. (ex: Business Administration, Nonprofit Management, Financial Management, Project Management, Information/Data Management, Operational Systems, etc)
  • At least 5 years of relevant experience within a nonprofit organization or similar setting.
  • Demonstrated leadership capacity within a team environment, including the ability to inspire and motivate staff and volunteers. 
  • Strong financial management skills, including budgeting, financial reporting, and grant management.
  • Proven ability to manage multiple projects/programs simultaneously. 
  • Excellent organizational and problem-solving abilities, with a keen attention to detail.
  • Excellent communication and interpersonal skills, with the ability to work effectively with diverse stakeholders.
  • Clear capacity and skills to work in a digital environment, including a strong commitment to continuous learning about effective and appropriate use of technology. Proficient in using relevant software and platforms (Google Workspace, CRM experience, WordPress, Zoom, project management platforms, etc) and excited to work in a combined digital/remote and in person/interpersonal environment. 
  • Must be either currently living on Salt Spring Island, willing to relocate or committed to a minimum of two days/week on the island. 

Preferred Qualifications

  • Ability to work independently and also collaboratively including strong commitments to flexibility, equality, clear communication and the ability to resolve conflicts effectively. 
  • Group facilitation skills and experience working in a consensus-based, distributed leadership structure.
  • Experience and enthusiasm about using AI and online tools and helping others to learn how to use them effectively. 
  • Organized, attentive to detail and an authentic enjoyment of supporting others to get organized and grow their skills.
  • Ability to work flexible hours and adapt as needed, from a home office and from the TSS office. 
  • Experience with climate action-related groups or initiatives and a strong commitment to local community resilience. 
  • Familiarity with Salt Spring Island and our local organizations.
